Luftkastellet collects the following data:

How do we collect your data?

You directly provide Luftkastellet with most of the data we collect.

We collect and process data when you:

Submit a booking or reservation enquiry through our forms on Facebook or Instagram (Meta Instant Forms / Lead Ads).

Contact us directly by email or phone.

Use or view our website via your browser's cookies.

When you complete one of our forms on Facebook or Instagram, you submit your details within the Meta platform. Meta then makes that information available to us so we can respond.

Meta processes your data under its own privacy policy before we receive it.

How will we use your data?

Luftkastellet collects your data so we can:

  • Receive, review and respond to your booking or reservation enquiry.

  • Confirm availability and arrange your booking.

  • Communicate with you about your enquiry or visit.

  • Keep a record of bookings for operational purposes.

We process your personal data under the following legal bases of the EU General Data Protection Regulation (GDPR):

Article 6(1)(b) – To take steps at your request before entering into a contract, such as responding to your booking enquiry.

Article 6(1)(a) – Your consent when you voluntarily submit your details through a form. You may withdraw your consent at any time by contacting us.

Article 6(1)(f) – Our legitimate interests in managing enquiries and operating our venue efficiently, balanced against your rights.

We do not sell your personal data.

We may share your information with:

  • Meta Platforms Ireland Ltd. (provider of the lead forms)

  • Service providers that help us operate our business, such as email, booking or IT providers

  • Authorities or other third parties where required by law


How do we store your data?

Luftkastellet stores booking enquiry data in Google Sheets using Google Workspace.

Access is limited to authorised Luftkastellet staff who require it to manage bookings. The account is protected with two-factor authentication.

Google acts as a data processor on our behalf and processes data according to its own data protection terms and the EU–U.S. Data Privacy Framework.

We retain booking enquiry data for up to 12 months after your enquiry has been handled, unless a longer retention period is required by law (for example, accounting obligations).

After this period, your data is deleted.

Marketing

Luftkastellet may send you information about events, offers and news that may be of interest.

If you have agreed to receive marketing communications, you may withdraw your consent at any time.
